Automatically Assigning Comment Permissions
During the process of running a Comments Tracking workflow, the server will automatically assign permissions when certain tasks are accepted or completed. This section describes when and what permissions are assigned.
Comment Creation
When a comment is created the following permission
assignments occurs automatically:
- The Comments Tracking user creating the comment is granted view, modify and delete permissions (server process)
- All persons belonging to skills and persons explicitly assigned to all existing review and consolidation tasks on the workflow are granted view permissions on the newly created comment (server process)
- All roles defined in the Comments tracking Admin permission roles setting are granted "view", "modify", and "delete" permissions on all comments (Comments Tracking UI Client process).
Keep in mind that
only users and skills assigned to Review and Consolidation tasks will be given
view permissions on comments. Therefore, if you have additional tasks such as
Approval and Completion, you must make sure that skills and persons assigned to
these tasks also belong to a skill assigned to one or more review or
consolidation tasks.
Note: Another option for the Completion task is to classify it as a Review Task class.
Review or Consolidation Task Acceptance
With automatic review or consolidation task acceptance,
the following logic is applied:
- All existing permissions on the comment (the SurveyInstance object) related to the Task that is being accepted are cleared (server process)
- All persons belonging to skills and persons explicitly assigned to review tasks with the same workflow parent are granted view permissions on the comments (server process)
- All persons belonging to skills and persons explicitly assigned to consolidation tasks with the same workflow parent are granted view permissions on the comments (server process).
Review Task Completion
With automatic review task completion, consider the
following:
- "View" permissions only are granted to all persons with any permissions on all comments
- The original creator of the comment is also granted "modify" and "delete" permissions
- All persons belonging to skills and persons explicitly assigned to all consolidation tasks are granted "view", "modify" and "delete" permissions.
